Administrative Support Specialist

Our organization is currently in need of an A-team player interested in becoming the administrative support specialist to our development, accounting and asset management teams. For this role, we are looking for someone who embodies our core values while providing administrative & operational support for the MDG team. Outstanding communication skills, excellent organization & time management, dedication to customer service, integrity, strong work ethic, and the ability to work effectively in a team environment are must-haves for this position. Responsibilities

  • Updates & follow ups
    • Create & update tasks on the development team task list based on emails received or copied on as well as meetings participated in
    • Create & update task list for action items from our biweekly Dealmakers meeting & distribute to team
    • Update our document tracker & lead the review of the document tracker at our Dealmaker meetings
    • Follow up on requests, tasks & scheduled due dates with both internal & external stakeholders
  • File management
    • File all development team documents, including updates to our property information packages where appropriate
    • Distribute development team documents or updates on document information package to appropriate stakeholders
    • Scan & file all accounting team support documents, including invoices, AP checks, deposits, and other documents
    • Perform clean-up work on existing files for development & accounting teams
  • Property information research & compilation
    • Perform GIS research on properties
    • Create & follow up on IPRA, as-built plan & will serve letter requests
    • Research & compile data on property taxes
    • Research & compile data on entity & property insurance
    • Research & compile data on utility services & accounts
  • Accounting & asset management support
    • Assist with vendor payment processing, including invoice data entry into our accounting system
    • Complete switch overs of utility accounts & property taxes into ownership name on acquisitions
    • Complete utility account kills on properties when needed
    • Confirm tenants & purchasers with utility accounts & property taxes switched in their names, assist as needed
    • Perform periodic site inspections and provide site photos & reports on properties
    • Manage service requests with vendors on properties
  • General administration & support
    • Schedule meetings with internal & external stakeholders for development & accounting teams
    • Runner for all teams, including making plan submittals, deposits & pickups from bank, mail and overnight package drop offs, document drop offs at title companies & banks, and miscellaneous errands
    • Order, pickup, & stock office and breakroom supplies
    • Prepare mail & overnight shipments for packages, vendor payments, and investor documents
    • Manage our BFF gifting program
    • Manage social media content and assist with event coordination (ground breakings, grand openings, etc.) for our development team
    • Assist with or manage IT related projects
    • Other admin & support items as needed

Desired Skills

  • Minimum 3 years of experience in an administrative support position, preferably real estate or construction related
  • Computer proficiency including Microsoft Office Suite

  • Ability to work independently with guidance and simultaneously oversee multiple tasks
